Reviewing Volunteer Offers

Volunteers can offer to help at a specific contest from their volunteer profile. When someone offers for a non-judge role on a contest you run, they appear at the top of that contest's Helpers page under Volunteers waiting for an answer.

Who sees which offers

  • Area Directors and Division Directors whose area or division covers the contest see every non-judge offer, including Contest Chair and Contest Master.
  • On a District contest, which has no Area or Division Director, the district's Coordinators see every non-judge offer, including Contest Chair and Contest Master.
  • The contest's Contest Chair and Contest Master see every non-judge offer except Contest Chair and Contest Master offers.
  • Judge and Contest Chief Judge offers are never listed here — they're decided on the Judges page.

Each row shows the volunteer's name, the role, whether they've done that role before, their clubs, and when they offered. Their email and phone aren't shown here.

Approve

Approve seats the volunteer in that role right away and emails them that they're approved. No confirmation email is sent — they asked for this seat, so it's already confirmed. The new row appears in the roster below.

A Contest Chair or Contest Master offer can only be approved for a vetted volunteer. If the volunteer isn't vetted, the row shows why and nothing changes.

We have enough

We have enough closes the offer and emails the volunteer that the position is already filled. They stay in the volunteer pool and can offer for other roles or contests.

On your Dashboard

When a contest has offers waiting for you, its card on your Dashboard shows a count such as 2 pending volunteers. Select it to go straight to that contest's Helpers page.
